Lead Receptionist/Administrative Assistant

Description:

  • Is the first point of contact for visitors and residents of Our Lady of Angels Convent. Greets and directs visitors to proper locations.

  • Places phone calls. Routes incoming calls to appropriate destination.

  • Is responsible for reserving meeting and guest rooms utilizing the Event Master system to track information.

  • Provides secretarial support to the administrator of OLA.

  • Maintains confidentiality with respect to the sisters, issues and information.

  • Prints monthly event contracts and invoices from the Event Master system and distributes it to the appropriate personnel. Reviews invoices for accuracy.

  • Works in collaboration with other support staff in the department. Provides assistance as needed and/or coverage when other support staff members are out of the office.

  • Seeks ways to improve receptionist, hospitality, and administrative processes and procedures for greater efficiency and professionalism.

Requirements:

  • Three to five years’ experience as a receptionist and administrative experience. Associates degree or business school is a plus.

  • Proficient computer skills. Is able to use Microsoft Office programs to include Word and Excel.

Human Resources Coordinator

Description:

  • The Human Resources Coordinator assists with all HR-specific and general administrative support for the Human Resources Department.  The duties are chiefly in support of recruitment, employment, benefits, safety, HR Information System, policies, and recordkeeping.

  • Post jobs and maintain currency; provide resumes and applications to directors and managers for review.

  • Process pre-employment background screenings; schedule pre-employment physicals for Assisi House staff with nurse managers; and provide IT with pertinent information for badge ID and computer access.

  • Meet with new employees to gather onboarding documentation and enroll in the time clock system.

  • Perform timely and accurate updates in the HR system, including new hires, terminations, and changes to pay, status (FT, PT, OCC), title changes, personal demographics etc. and ensure that information is provided to the payroll administrator. Update report for submission to finance at the end of each pay period for internal auditing purposes.

  • Issue notifications to employees regarding benefit eligibility, meet with them to review benefit options, and ensure timely enrollments.

  • Perform benefit enrollments, terminations, and changes with the broker/carriers; ensure that the payroll administrator is kept abreast of changes for purposes of adding, changing, or removing payroll deductions for employee benefit contributory amounts.

  • Notify supervisors of introductory performance evaluation due dates, and ensure timely receipt of responses.

  • Assist with outreach to local organizations to identify possible new recruitment sources (i.e. CNA training program, DOL, job readiness programs).

  • Provide support for the planning and execution of the annual employee appreciation week and annual service award ceremony.

  • Complete verifications of employments. Submit new hire reports to the State of Pennsylvania to fulfill compliance requirements.

  • Ensure the timely submission of workers’ compensation First Report of Injuries and maintain records for OSHA incident tracking and reporting.

  • Other duties as assigned to fulfill HR responsibilities

Requirements:

  • One to three years of HR support experience with a sound foundational knowledge of recruitment, compliance, benefits, and safety along with familiarity with HRIS platforms. Associate’s or bachelor’s degree in HR or related discipline a plus.

  • Dependability and cooperative attitude; reliability and honesty.

  • Advanced Word and Excel skills.  Strong oral and written communication skills.

  • Ability to assimilate information quickly; resourcefulness in responding to various needs.

  • Ability to multi-task and prioritize with ever-changing needs; good time management skills. Ability to maintain accuracy of work with a strong orientation to detail.

  • High regard for confidentiality and sensitivity with regard to delicate issues.

Food Services Assistant – OLA Convent

Description:

  • Carries out responsibilities and interacts with all individuals in accordance with the mission and values of the Sisters of St. Francis of Philadelphia.

  • Assists in all tasks of the Food Services Department

  • Ensures that necessary supplies (food, cleaning items, paper goods, equipment, and all items required to operate the department) are available on a timely basis.

  • Assists with catering requests by meeting with all personnel involved in the event and reviewing all details. Communicates with staff. Reviews all food requirements.

  • Monitors safety and promotes safe working practices and a safe working environment. Strives to prevent accidents. Attends Safety Committee meetings.

  • Maintains high standards of sanitation throughout the department. Practices and monitors sanitation rules in compliance with HACCP standards at all times. Maintains work areas in an orderly and sanitary manner.

  • Identifies equipment problems and schedules repairs with service personnel.

  • Assists with providing appropriate in-service training for all employees.

  • Conducts all aspects of the job with a positive and professional demeanor.

  • Examines, documents, and communicates as needed activity in the building that occurs in the absence of the Food Service director.

Requirements:

  • High school diploma or the equivalent.

  • Two years restaurant or institutional food service experience

  • Serve-Safe certification, or the ability to be trained for Serve-Safe certification.

Director, Anna’s Place, Chester

Description:

  • Plans, coordinates and evaluates the activities of Anna’s Place in a manner reflecting the mission, vision and values of The Sisters of St. Francis of Philadelphia with particular attention to serving the guests of Anna’s Place and ensuring a space that is peaceful and hospitable for all guests, volunteers and staff.

  • Direct and oversee the ministry of Anna’s Place including personnel, equipment, and the building

  • Develop and manage the budget with the Sisters of St. Francis finance office; maintain appropriate financial records and perform necessary banking tasks

  • Collaborate with the staff of Anna’s Place to recruit, screen, orient, and assign volunteers

  • Develop and nurture relationships with appropriate personnel within faith communities, educational institutions, social service agencies, and civic officials within the city of Chester and Delaware County

  • Collaborate with other offices and ministries/partnerships of the Sisters of St. Francis: e.g., Sisters of St. Francis Foundation, Drexel Neumann Academy, Chester Community Coalition, and ACCESS

  • Seek funding/develop donor relationships to support Anna’s Place services

  • Develop a resource/referral file of people, agencies, and services that are available for guests of Anna’s Place

  • Maintain communication with the administrator of St. Katherine Drexel Parish and the director of sponsorship.  Prepare and present an Annual Report for the leadership team of the Sisters of St. Francis

Requirements:

Environmental Services Aide/Housekeeping

Description:

  • Full-time, Part-time, and Occasional positions available.

  • Performs the daily cleaning tasks of residents’ rooms and public, clinical, and administrative areas while ensuring the highest standards of cleanliness.

  • Assists with cleaning of residents’ rooms, bathrooms, laundry rooms, and kitchens, furniture and medical equipment.

  • Sweeps, vacuums, mops floors/carpeting, and strips and finishes floors when needed.

  • Handles trash removal and the transport of infectious waste, sharps, and needle boxes as well as soiled linens and laundry.

  • Cleans windows, baseboards, and fixtures; moves equipment or furniture; maintains cleaning equipment; stocks areas and carts with materials and supplies; and cleans out refrigerators.

Requirements:

  • At least two years of professional environmental services experience, with an minimum of six months of experience in floor/carpet care and cleaning.

  • Previous experience with power and manual equipment, ladders, and wet and dry vacuums.

  • Experience in the health care industry or other service-related field requiring a high level of customer contact experience.

  • Able to lift up to 50 lbs; to tolerate long periods of standing, walling pushing, bending, and reaching; to perform repetitive cleaning teaks throughout the day; and to handle unpleasant odors and work with chemical cleaning products.

  • One full-time day shift position and several part-time positions to work the evening shift (3:30 P.M. to 6:30 P.M.) 2-3 nights per week, every other weekend, and several holidays.
